Events Coordinator / Front Desk Clerk

The ARTx3 Campus is seeking a personable, highly organized Events Coordinator / Front Desk Clerk to serve as both the welcoming face of our organization and the behind-the-scenes engine of event coordination. This full-time position combines front-facing customer service with logistical planning for a wide range of public and private events across our three-building campus.

The ideal candidate excels at multitasking, communicates clearly and professionally, and takes pride in helping guests, renters, and patrons have positive, seamless experiences. This position is critical in ensuring that every visitor receives a warm welcome and every event runs smoothly from start to finish.

HOURS: Monday–Friday, 8:30 a.m. to 5:00 p.m. Some evening and weekend hours required for events and rentals.

The ARTx3 Campus is the convergence of art, creativity, and community in Pine Bluff, Arkansas. The campus features three facilities: The Arts & Science Center for Southeast Arkansas (ASC), The ARTSpace on Main, and ART WORKS on Main. All three facilities present programming in the visual arts, performing arts, and STEAM (science, technology, engineering, art and mathematics) education through exhibitions, performances, classes, and local partnerships.

Founded in 1968, ASC is accredited with the American Alliance of Museums and features a permanent art collection focusing on art by African American artists, Arkansas artists, and art of the Delta; three exhibition galleries; an interactive youth activity space; and the 232-seat Catherine M. Bellamy Theater. The modern and multipurpose ARTSpace and ART WORKS facilities host live music, local and regional art, diverse multidisciplinary workshops, and small productions. The ARTx3 Campus aims to empower our community through the arts, support the revitalization of Downtown Pine Bluff, bolster the creative economy, and bring positive attention to our city.

Pay Range: $32,000–$40,000, commensurate with experience

Job Description

Event Coordination Responsibilities:
  • Coordinate and manage event logistics for internal programs and external rentals, including weddings, receptions, conferences, and performances.
  • Serve as the point of contact for rental clients, ensuring clear communication about event needs, contracts, and expectations.
  • Schedule and confirm event bookings across all three facilities, working closely with the Assistant Director.
  • Oversee room setup and breakdown, collaborating with the Custodian and Facilities team.
  • Maintain and update event calendars, invoices, and rental agreements.
  • Ensure event spaces are guest-ready, clean, and properly equipped.
  • Represent ARTx3 during events to provide on-site coordination and ensure guest satisfaction.
Front Desk Responsibilities:
  • Greet all visitors, students, renters, and artists with professionalism and warmth.
  • Answer phones, respond to emails, and provide general information about exhibitions, classes, and upcoming events.
  • Process event ticket sales, class registrations, and payments for store merchandise or facility rentals.
  • Maintain front lobby appearance and ensure informational materials are current and accessible.
  • Support staff with administrative duties such as filing, supply tracking, or scheduling support.
  • Monitor building access and serve as a central communication point during business hours.

Requirements

  • High school diploma required; associate or bachelor’s degree in hospitality, business, arts administration, or a related field strongly preferred.
  • 3+ years experience in event planning, hospitality, or customer service.
  • Excellent verbal and written communication skills.
  • Strong organizational abilities and attention to detail.
  • Comfortable working in a fast-paced, multi-tasking environment.
  • Proficiency in office software (Microsoft Office, Google Workspace); experience with calendar or booking systems is a plus.
  • Friendly, polished, and professional demeanor.
  • Flexibility to work evenings and weekends as needed.
